Conference Hire

The Pavilion prides itself on being the most flexible venue within the Birmingham area. Whether you are organizing a board meeting, staff training, seminar or presentation evening the Pavilion is the ideal facility for your corporate requirements.

The Pavilion offers not only a unique flexibility but also sits in 18 hectares of grounds that can not fail to impress conference delegates.

We offer a wide variety of delegate packages with full and half day packages or bespoke menus to suit. Additionally, all rooms and layouts can be accompanied by our audio visual equipment.
 



Conference Rooms

Meeting rooms can be set up in a variety of layouts from spacious (seating 250 delegates) to intimate (accommodating 10 delegates) depending on the aims and objectives of your conference. We have an impressive terrace area where delegates can break out and relax.
 

The Bar 

The perfect break out area, overlooking the grounds, where delegates can relax on the soft seating area whilst remaining up to date with news channels playing throughout each conference break.
 

The Pearson Suite 

The ideal location for large conferences seating up to 250, the Pearson suite overlooks the balcony and presents a grander image for your delegates.  Alternatively, the Pearson Suite can be divided up into three smaller rooms to accommodate between 10-90 delegates.
 

The Meeting Room 

For smaller, intimate conferences seating up to 12 the meeting room offers the perfect venue for seminars and small business meetings.

The Pavilion also offers free Wi-Fi which is a must when on the go and away from the office. Free parking is also available on site making it easy for all. A conference assistant will be on hand to make sure your day at The Pavilion goes smoothly.

1.  Definitions
1.1 The Client – any person booking the services of the company

2. Confirmation of Client
2.1 Upon returning the booking form the Client agrees to all the terms as outlined below.

3. Amendments
3.1 Final details should be submitted no less than 14 days prior to the event.  The Client will be billed according to the details submitted at this point.
3.2 Any amendments made within 14 days prior to the event must be confirmed in writing.  Such amendments may subject to further charge.  No reduction in charges can be made within 14 days of the event.
Minimum Numbers for Conference Bookings are as follows – please be aware that additional charges may apply of the numbers fall below the minimum

4. Cancellation
4.1 Cancellation up to 14 days prior to the event will not incur a charge. 
4.2 Cancellation within 14 days of the event will be subject to being charged in full.
4.3 The Company may cancel the event at any time in the event that the booking might in any way prejudice the reputation of the company.

5. Payments
5.1 The Company operates an invoice payment system terms are 30days.

6. Prices
6.1 All prices quoted are exclusive of VAT.

7 .Outside Services
7.1 The company’s prior consent must be sought for any services contracted by the client for a particular event.

9. Property and Goods
9.1 The Company does not accept responsibility in any way for Clients property.  Any goods deposited with employees of the company or left within Company premises is done at the owners risk.

10. Damage
10.1 Any damage wilful or otherwise to the premises, furnishings, fixtures or fittings will be the responsibility of the Client and must be paid for on request of the company.

11. Catering
11.1 No adjustments can be made to catering provided on the day, if there is a likelihood of an increase in numbers the Company must be notified 48 hours in advance.
11.2 All dietary requirements must be notified in advance as they cannot always be accommodated on the day.
12. Complaints

12.1 If the Client has a complaint prior or during the event, you shall notify the Venue immediately and we will do what we can to help.  If any complaint arises out of the booking or our performance of the contract, you, the Client, shall notify us immediately and provide written details within seven days of the event.  The Company or Venue shall not be liable for any complaint or claim unless notified in writing within seven days of the event.

12.2 The agreement is subject to English Law
